Job description

  • Role: Executive Assistant to the CEO – part time 60% (at least ½ day every day of the week)

  • Scope: You will provide high-level administrative, organisational support to our CEO and his social media. This position requires the ability to anticipate needs, think critically, be flexible and manage competing priorities and offer solutions with a high level of professionalism and confidentiality.

  • Level: Medior / Senior

  • Location: Ghent, Belgium. (Minimum 1 fixed day per week at the office)

  • Timing: July/ August 2023

As an Executive Assistant at Teamleader, you’re responsible for:

  • Supporting the CEO to manage his workload and activities
  • You coordinate and maintain the agenda of the CEO, including organizing all the appointments, meetings, events and travel arrangements.
  • You make sure relevant content is posted on the CEO social media and you follow the calendar made by our marketing team so everything is posted at the right time.
  • You follow-up on important deadlines and proactively remind the CEO
  • You track and help drive completion of key deliverables and follow-up of outstanding items.
  • You ensure Google Slides presentations are impactful with perfect spelling, layout and visuals.
  • You often act as the CEO’s first point of contact with people from both inside and outside the organisation
  • You manage all incoming mails and take appropriate action depending on the topic, relevance and urgency.
  • You occasionally join specific meetings, taking notes and you’ll be the point of contact for management members. You organise personal and shared folders as well as management meeting presentations.

Requirements

Sounds like you? You’d be a great fit if you: 

  • You have at least 3 years of experience in a similar role.

  • You’re an excellent communicator, written and oral, both in Dutch and English. French or German is a plus.

  • You’re the contact person for our CEO, so you’re approachable and easily accessible via different channels (phone, Whatsapp, Slack, e-mail …)

  • You’re a quick thinker and a fast learner. With your ability to structure and prioritise, multitasking isn’t a problem for you.

  • Discretion and confidentiality are key assets.

  • You’re in your element in a fast changing SaaS company where we like to do things differently.

  • You can easily find your way in a tech environment with a lot of different tools and social media (Google Environment, Slack, Confluence, LinkedIn, Instagram, Tiktok, Facebook, Canva…)

  • You’re flexible towards change and unforeseen circumstances.

  • You’re flexible to travel once or twice a month to our Amsterdam office. Having a driver’s license is a big plus.
